Exhibitor Policies & Procedures

All exhibits must be set-up no later than 7:00 AM on the day of the scheduled program.

Exhibitors are responsible for set-up and tear-down. Each exhibitor must package, label and arrange for pick-up of all exhibits/materials. Winding River Productions and Omnia Education will not be held responsible for exhibit equipment. Exhibits are permitted to tear down at the conclusion of the final program break. Early teardown is not permitted.


All packages sent to the hotel must be labeled with the provided shipping tag (see grid above).

Hotel does not have storage space for crates, pallets or large shipments. Any materials to be sent to Hotel may arrive no earlier than 3 days prior to the day of the scheduled program. Should boxes arrive earlier than (3) days prior, the storage fee will be assessed.


If your onsite staff would like to request a guest room, please complete and return the Exhibitor Hotel Request Form (see grid above) to the program's Project Manager (see grid above). Rooms are available on a first come first serve basis and based on hotel availability.


Exhibitors must wear their conference name badge at all times while in the conference and exhibit areas. Name badges may not be reassigned to other persons.

Exhibitors may attend conference sessions, on a space-available basis, using the seats in the rear row(s) only. Exhibitors may not participate in the conference proceedings by speaking, commenting, or asking questions. Exhibitors may not hold any educational, informational, or social events for attendees of the activity, except those contracted through Omnia Education.

Omnia Education shall be entitled to terminate this Agreement forthwith, close the exhibit, and remove the exhibitor's property from the exhibit area at any time for failure by the exhibitor or any of its officers, agents, employees, or other representative to perform, meet, and/or observe any term, condition, or rules set forth in these terms and conditions and such exhibitor shall not be entitled to a refund of any payment.

Force Majeure: The performance of this agreement by either party is subject to acts of God, war, terrorism, government regulation, disaster, fire, flood, strikes, civil disorder, curtailment of transportation facilities, or other similar cause beyond the control of the parties making it inadvisable, illegal, impractical, or impossible to hold a successful meeting. This agreement may be terminated without penalty for any one or more of such reasons by written notice from one party to the other.
